Privacy Policy

We collect only what we need to review and publish research, we never sell it, and we take particular care because many of our authors are under 18.

Who We Are

This website and journal are operated by The Scivant Review ("we", "us"). You can reach us at editor@scivantreview.org.

Ages and Parental Consent

Authors must be at least 13 years old. We do not knowingly collect personal information from children under 13; if we learn that we have, we delete it.

For authors under 18, we ask a parent or guardian to consent, by email, to the submission and to publication of the author's name if the paper is accepted. We don't review or publish the paper until consent is given. A parent or guardian may contact us at any time to review, correct or delete their child's information, or to withdraw consent.

What We Collect

From Authors

  • Names, email addresses, schools, and grade or year of study for the corresponding author and student co-authors; for co-authors who aren't students, their position and institution.
  • For authors under 18: a parent or guardian's name and email address, and their consent response.
  • The manuscript, figures and other files you upload, and the statements you provide (conflicts of interest, funding, use of AI tools, and any paid research program).
  • Messages you exchange with the editorial office, and a record of your paper's progress.
  • Payment records: whether and when a fee was paid. Payments are handled by Stripe; we never receive or store card numbers.

From Reviewers and Board Members

Name, email address, degree, field and institution, declared connections to authors, the reviews they write, and a count of reviews completed.

From Everyone Who Visits

Our hosting provider records basic technical information, such as IP addresses, to deliver and protect the site. We don't use advertising or tracking cookies. Editors and reviewers who sign in receive a cookie that keeps them signed in.

How We Use Information

  • To screen, review and make decisions on submissions, and to typeset and publish accepted papers.
  • To contact authors, parents or guardians, and reviewers about a submission.
  • To process fees and keep financial records required by law.
  • To protect the integrity of the journal, for example by checking for plagiarism or duplicate submission.

We do not sell personal information or use it for advertising.

What Becomes Public

If a paper is published, the article itself is public, along with each author's name, school or institution, ORCID identifier if provided, and the dates the paper was received, accepted and published. Email addresses, grades, parent or guardian details, payment records and reviewer identities are never published. Published articles stay online permanently as part of the scholarly record.

Who We Share Information With

  • Reviewers see only the anonymized manuscript and the information needed to review it, never author names or contact details.
  • Service providers that run parts of the journal for us, under their own privacy and security terms: Cloudflare (website hosting, database, file storage and email forwarding), Resend (sending email), Stripe (payments) and GitHub (converting accepted manuscripts into the journal's PDF format). Submissions are also processed using third-party software services, for example to check them for similarity to other work.
  • Authorities, if the law requires it.

How Long We Keep Information

  • Submissions that are never paid for or never completed: uploaded files are deleted 30 days after the form was sent.
  • Rejected or withdrawn papers: uploaded files are deleted 6 months after the decision or withdrawal.
  • Published papers: the published PDF, the final accepted file and every correction or retraction version are kept permanently. Earlier drafts are deleted 6 months after publication.
  • The basic record of every submission (title, dates, decision and payment reference) is kept permanently, so we can answer questions about it later.
  • Similarity fingerprints: for every submission we keep a permanent, non-reversible fingerprint of its text, so later submissions can be checked against it. The text of the paper can't be rebuilt from it.
  • Files connected to an open payment dispute or a misconduct investigation are kept until it is resolved.
  • Contact details and consent records are kept for as long as we keep the related submission record.
  • Payment records are kept for as long as tax law requires.

Your Choices and Rights

You can ask us to show you the information we hold about you, correct it, or delete it, by emailing editor@scivantreview.org. Parents and guardians can make these requests for their child. We can't remove a published article, because it is part of the scholarly record, but we will handle any request about it under our corrections policy. Depending on where you live, you may have additional rights under local law.

Security

Information is stored with our hosting provider using encryption in transit, and access to submissions is limited to the editor and the assigned reviewers. No system is perfectly secure; if a breach affects your information, we will tell you as required by law.

Changes and Contact

If we change this policy, we'll post the new version here with its date, and email authors with active submissions about significant changes. Questions: editor@scivantreview.org.
